01

Verify the delivered identity before use

Compare purchase order, product code, lot, package markings and net mass with the accepted sample and quotation. Preserve any written relationship between laboratory code and commercial identity. Similar charge descriptions or solution viscosity do not prove that a different code is the qualified material.

Record packaging damage, moisture exposure, leakage or unusual appearance using the mill's receiving procedure. Obtain documents for the actual proposed product and current storage instructions. Physical inspection can identify a handling concern but cannot by itself establish retention or dry-strength performance.

02

Reproduce the application that justified purchase

For retention PAM, use the accepted furnish, sequence and post-shear measurements. For a dry-strength agent, retain the agreed sheet-making and conditioning basis. A convenient freshwater viscosity check can support preparation control but does not replace the duty-specific acceptance that selected the product.

Prepare delivery and retained reference on the same current stock with matched concentration, water and solution age. Comparing a new shipment with last month's paper result cannot distinguish material difference from furnish or chemistry change. Keep raw readings and repeated points where normal variation matters.

03

Investigate competing causes objectively

Check preparation, feeder and pump calibration, dilution, addition hardware and current wet-end conditions when response differs. Record the timing of stock, water or equipment changes. Arrival of a new lot at the same time as a process upset creates multiple possible causes, not proof that either the polymer or the mill is at fault.

If the paired comparison still differs materially, preserve samples, documents, preparation records and application results for technical review. Follow authorized hold-and-release procedures rather than blending uncertain supply into accepted inventory or masking a problem with an undocumented permanent dose change.

04

Close the lot record with a defined release

Record which criteria passed, who can approve a deviation and whether a monitored machine period remains necessary. Keep first-lot evidence linked to the original technical qualification rather than creating a different acceptance basis after delivery. Retain representative material under suitable conditions for an agreed period where practical.

Use a consistent receiving approach for subsequent shipments at the frequency justified by the mill's quality procedure. Proposed formulation or identity changes need the agreed review. A repeatable lot check preserves supply continuity without implying that a COA alone guarantees performance across changing paper grades.

05

Connect qualification to the order

Keep the related operating qualification with the purchase record. Further checks include Changing a Paper PAM Supplier: Plan the Crossover Around Grade and Loop Stability and Paper PAM Supply Contracts: Keep Grade-Specific Approvals Within One Agreement.

Request coded material through the papermaking PAM sample and quotation brief. Include paper grade, furnish, additive sequence, preparation limits, acceptance method, quantity and destination. Separate demonstrated results from conditions still awaiting a trial.
